Visa requirements and Invitation letters

Please note that a visa-regime may be applied to Visitors from selected countries from around the world who wish to enter Poland. In many cases a Schengen-Visa is issued. As a rule, Visitors from non-EU countries must hold a passport that is valid for at least six months beyond the date they enter the Country. Citizens of EU member states can enter Poland with their national identity (ID) cards. Individuals from countries which require an entry visa to Poland should contact the Polish Embassy/Consulate in their home country to obtain a visa. Personal invitations (Invitation letters) will be supplied by the Conference Office upon request, to participants from countries that require an entry visa to Poland. All requests for personal invitations should be sent on the official letterhead of the applicants’ company/organization to e-mail address: accord@wum.edu.plPlease note that letters of invitation will only be issued to registered attendees who have paid Conference fee.

Important info

Entering Poland:  Visitors may enter Warsaw using either a passport or (for EU citizens only) their national ID card.

Health Regulation: No international immunization card/record is needed when entering Poland. However, be sure to familiarize yourself with the rules and regulations of all countries through which you may have to pass on your way to Poland. 

Climate: Warsaw experiences typical spring weather in May. The average minimum temperature (usually noted during the night) is 8.0°C (46.4°F). The average maximum temperature reaches around 18.0°C (64.4°F). The average rainfall in Warsaw in May is around 58 mm (2.3 in).

VAT: There is a variable value added tax (VAT) applied to most items and services, which is already included in most prices.

Shopping: Normal trading hours are Monday to Saturday from 8 am to 9 pm; in the city center and shopping malls many shops stay open all day from 10 am to 9 pm.

Warsaw Chopin Airport: Warsaw Chopin Airport is equipped with the following services and facilities: ATMs (Planet cash), bank (Bank Pekao), currency exchange (opens at 5 am), shops, postal services, lounges, chapel, areas for children, free Wi-Fi and duty-free stores.

Taxi: There are many TAXI corporations in Warsaw (e.g. Eko Taxi, Ele Taxi, Grosik Taxi, Halo Taxi, Korpo Taxi, MPT Taxi, Sawa Taxi, Wawa Taxi). Order a taxi in the way most comfortable for you: by phone, text message, online, by downloading the application for Android or for iOS. Choose the cab suitable for your needs: transportation of a child in a child seat or a dog on a blanket.

Please be careful. Unlicensed taxi drivers operate at Warsaw airports and elsewhere. They often overcharge. Use only official taxis, which have the name and telephone number of the taxi company on the side of the door and on the top of the taxi. They will also show a fare-rate card on the vehicle’s window. Taxis with a crest but no company name are not official taxis.

Credit Cards, Currency and Exchange: AII major international credit cards are accepted. Foreign currency can be exchanged in Kantor Apollo (Wołoska 12 Street; 27 min walking distance from the Airport Hotel Okęcie). ATMs accepting major international credit cards and debit cards are available in the Hotel Airport Okęcie building complex (Euronet), as well as at Taśmowa 7 Street (Planet Cash; 12 min walking distance from the Airport Hotel Okęcie) and other streets/ all metro stations/most banks. The Polish currency is Polish zloty (PLN).

Duty Free: There are no restrictions on visitors entering Poland with goods bought in another EU member country, as long as they are for their own use and not for resale.

Banks: Banks are usually open from 10 am to 6 pm from Monday to Friday.

Liability and Insurance: The Conference organizers do not incur liability for personal injuries, loss or damage to property belonging to Conference participants (or their accompanying persons), either during or as a result of the Conference. Please check the validity of your own insurance.

Mobile phones: When you travel from another EU country, you don’t have to pay any additional charges to use your mobile phone in Poland. Your calls (to mobile and landline telephones), text messages (SMS) and data services are charged at domestic rates.

Updated rates for international calls and SMS from Poland to EU countries cannot be higher than 0.81 PLN net / 1 PLN gross per minute of connection; 0.25 PLN net / PLN 0.31 gross for the text message sent. The introduced maximum prices include only international call services and SMS messages, i.e. the services we use in Poland while contacting the user who uses a foreign number and do not refer to roaming services.

There are four main mobile providers in Poland: T-Mobile, Orange Polska S.A., Play (P4 Sp. z o.o.), Plus (Polkomtel S.A.). There are many ways to buy SIM cards and packages: in supermarkets, street kiosks, official company stores, and at gas (petrol) stations.  Registering with your passport or national ID card is now mandatory when buying a SIM card in Poland. Be sure that your mobile phone works at the GSM frequency of 900/1800 available in Poland and is unlocked.

The alternative is the Orange Flex, an in-app mobile offer with unlimited calls, SMS, MMS in Poland and in the EU as well as unlimited Social Pass in Poland . You can choose from plans containing internet packages to be used in Poland with sizes from 30 to 150 GB. For example, paying 35 PLN a month, you have 45 GB of Internet to use in the country (6.72 GB while roaming in the EU). To use Orange Flex, all you need is to download the application, register yourself and confirm your identity (no SIM card is required). You can do this with the help of a national ID card, passport issued in the EU, residence card and permanent residence card.

Tipping: In restaurants, hotels, taxis, at the hairdresser’s and so on, a gratuity is not included in the price. However, optional tips are readily accepted, and a general guideline is to tip between 5% and 10% of the bill, depending on the quality of the service.

Bus and tram stops have specific names and numbers, verify the number before entering in order to travel in the right direction. Tickets are available for purchase in newsstands, post offices, ticket machines at the stops, ticket machines in particular vehicles, or from drivers. Holders of ISIC international students’ cards are entitled to a 50% reduced ticket price. Cardboard tickets should be validated immediately after boarding the vehicle (look for yellow devices). Some tickets purchased in vehicles are already validated, please check the information provided by the ticked machine software. All types of tickets are valid in buses, trams, subway lines (depending on the length of the journey), for local trains (operated by KM, SKM, and WKD) – only 24 h, 72 h, and weekend tickets.
