Guidelines for Oral Presentations

Oral Short Presentations will be selected by the Scientific Committee from the abstracts submitted. Please indicate the option “Oral Short Presentation” if you would like to be considered.

The presenting author will have 15 or 20 minutes for the presentation, including questions, as indicated in the Conference Program.

When preparing the slides for the Oral Presentation, please note the following:

Electronic PowerPoint or PDF presentations are the only accepted medium for Oral Presentation. The electronic projection equipment will include a computer equipped with Operating System Windows 10 (64 bit) and PowerPoint 2016.

It is highly recommended that Macintosh users test their presentations on a Windows PC to verify that they convert to WINDOWS format accurately. There will not be any MAC equipment available.

Lettering and numbering on your PowerPoint Oral Presentation slides must be readable from the back of the lecture room. An effort should be made to reduce clutter on your slides. Prepare your slides to communicate ideas, not details.

Graphs are best used to convey trends, comparisons, and relationships.

A table in a published article is too small and much too detailed for a slide presentation. Take the time to think through what conclusion you want to present from the table and show the least amount of material you can to communicate that idea. A graph or photograph may better communicate your data than a table.

Use a horizontal orientation (landscape) for all slides.

Pre-meeting rehearsal by presenters is a must to ensure that speakers finish within the allotted time and the take-home message of the presentation is clear.

Review your presentation on a different machine from which it was originally prepared to ensure the backgrounds, transitions, video clips, graphics, and linked images appear properly.

Presentation upload:

Upload your presentation by May 20, 2024. The file size limit is 75MB. Instructions for upload will be provided to the presenting author in an e-mail.

Please bring a backup copy of your PowerPoint presentation to the Conference on a USB flash drive.

Be in the session room at least 20 minutes before the beginning of your session and introduce yourself to the Session Chair.

Stay on schedule. The Session Chair has been instructed to require all presenters to adhere to the time limit.

The Session Chair will introduce the audience with the authors and the title of your poster. There is no need to repeat it. Do not spend your time making an introduction, presenting materials, methods and experiments, acknowledging all co-workers, funds, etc. Go directly to the goal of your work, major results, and conclusions. Focus on your message to encourage participants to view your poster during the breaks.

If the time allows, the Session Chair might ask for one or two questions from the audience. Please answer the questions briefly to stay within your time.

Show your respect to other presenting authors and stay in the lecture room for the entire session.

Printed Poster Presentation

Neither the organizers nor the Conference center has facilities to print your poster. If you want to print your poster in Warsaw, please get in touch with the printing shops you can find on the internet and check if they meet your expectations.

Posters can be fixed to boards using adhesive double-sided tape. Please do not use pins, velcro, or blu-tack. Double-sided tape will be provided in the exhibition area and student volunteers will be around for any assistance, if needed.

Your poster may be hung starting 8 a.m. on the day of your scheduled poster session and must remain displayed for the entire day. The Conference organizers do not incur liability for any damages related to posters that were displayed earlier than indicated. Posters must be removed during the appointed time to prepare the boards for the next Printed Poster Presentation session. Posters that are not removed by the end of the day will be removed by the Conference staff and can be picked up at the registration desk the next day.

Poster orientation should be portrait, NOT landscape. Poster size should be A0 (841 mm x 1189 mm). Minimum font size for all text: 18 pt.

Text and graphics must be readable from 2 meters (6 feet) away.

When planning the content of your poster presentation, please keep in mind that the poster will be available for viewing and discussion for several hours. The poster should be understandable even without an oral explanation.

Posters can also be uploaded and displayed on the Conference website, if requested by the Author(s).

Poster Spotlight Presentation

Thirty posters will be selected by the Scientific Committee for the Poster Spotlight Presentation in each Poster Session, from the abstracts submitted for a poster presentation. The poster presenting author will have an opportunity to show up to three slides to focus the attention on the topic of the poster within 3 minutes.

Check the Program to see in which Poster Session and order your poster will be displayed for presentation.

The presentation is to highlight the major findings of your work and not to cover your entire research.

When preparing the slides for the Poster Spotlight Presentation, please note the following:

If you are selected for the Poster Spotlight Presentation, you should prepare also a standard printed poster in addition to the presentation.
